Payment Policies

Location: Home » Payment Policies

Terms & Conditions – Payment & Reservation Policies

Please read and understand these policies before submitting your application to Aconcagua Express Expeditions (AEE).

Rescue Insurance (Required):

All our expeditions and treks (except for Easter Island and Atacama Trek) require mandatory Rescue Insurance. Please check our recommended insurance companies Ripcora and Global Rescue Insurance.

Cancellation Insurance:

AEE also strongly recommends that you add Cancellation & Interruption Trip Insurance for all programs we offer.

Prices – all prices are in US dollars.

Expeditions Trips

Payment Schedule:

  • At time of reservation – $900 USD non-refundable deposit is required.
  • 120 days from departure – Balance of trip cost. All balances are due 120 days prior to departure date unless otherwise specified.
  • If the trip is booked with in 120 days of departure date full payment is required at time of booking.
  • Participants whose balances are not received by the 120-day deadline as stated above, risk forfeiture of their place on the expedition.

Policy as it pertains to trip deposits:

  • If the participant cancels for accident or personal reasons, or not passing medical screening, AEE cannot refund your deposit or tuition.
  • If we must cancel for any reason, AEE will refund the registration fee.
  • We recommend strongly you to buy cancellation trip insurance to protect you if you are unable to join the expedition for personal, family or medical reasons.

Custom Trip Planning: You will be charged a non-refundable $2,000 fee to price and organize your custom trip. Normal payment and cancellation policy then apply.

Date Change Fee Policy:

  • All date changes must be received in writing along with new application.
  • $200 fee for all date changes.
  • Any change from trip departure can be extremely difficult and is subject to all incurred expenses as assessed by AEE.
  • All date changes are for credit only (no refunds) and valid for one year from written change notification and receipt of new application.

Cancellation Policy

  • If you decide to cancel your trip or change your itinerary, AEE must be notified in writing. Your trip will be cancelled from the date written notice is received. Reimbursement policy is directly related to how far ahead you notify the cancellation of your trip, and the amount to be retained for office and administration fee is as follows:
  • More than 119 to 90 days from Trip Departure: 50% of Trip Cost.
  • 89 to 59 days from Trip Departure: 100% of Trip Cost
  • If proper written cancellation notice is not received, amounts paid and reservations made will be forfeited.

We recommend strongly you to buy cancellation trip insurance to protect you if you are unable to join the expedition for personal, family or medical reasons.

Trekking Trips

Payment Schedule:

  • If the trip is booked with in 180 days of departure date full payment is required at time of booking.
  • Participants, whose balances are not received by the 180-day deadline as stated above, risk forfeiture of their place on the expedition.

Patagonia Policy as it pertains to trip deposits:

  • If the participant cancels for accident or personal reasons, AEE cannot refund your deposit or tuition.
  • If we must cancel for any reason, AEE will refund the registration fee.
  • We recommend strongly you to buy cancellation trip insurance to protect you if you are unable to join the expedition for personal, family or medical reasons.

Patagonia Date Change Fee Policy:

  • All date changes must be received in writing along with new application.
  • $300 fee for all date changes.
  • Any change from trip departure can be extremely difficult and is subject to all incurred expenses as assessed by AEE.
  • All date changes are for credit only (no refunds) and valid for one year from written change notification and receipt of new application.

Patagonia Cancellation Policy

  • If you decide to cancel your trip or change your itinerary, AEE must be notified in writing. Your trip will be cancelled from the date written notice is received. Reimbursement policy is directly related to how far ahead you notify the cancellation of your trip, and the amount to be retained for office and administration fee is as follows:• More than 179 to 150 days from Trip Departure: 50% of Trip Cost.
  • 149 to 120 days from Trip Departure: 100% of Trip Cost
  • If proper written cancellation notice is not received, amounts paid and reservations made will be forfeited.

We recommend strongly you to buy cancellation trip insurance to protect you if you are unable to join the expedition for personal, family or medical reasons.

Associate Expenses

AEE is not responsible for expenses (e.g. nonrefundable airline tickets, visa fees, equipment, etc.) incurred by trip members in preparing for cancelled trip, regardless of cancellation reason, or for any additional expenses should the trip members have embarked or returned prior to or after any scheduled date. AEE is not responsible for expenses incurred due to any deviation from the schedule undertaken by choice of trip participant. AEE alone reserves the right to cancel (in accordance with the above terms) or postpone any trip due to acts of man (e.g. war, terrorism, earthquake, tsunami, pandemia, etc.), or nature beyond AEE’ S control.

Participant Responsibility for any trip

Trip participants are responsible for their own well-being. This includes good health and strong physical condition. Participants joining a mountaineering expedition or trek may be required to obtain a physician’s release prior to departure. Expedition members are responsible for: knowing all pre-departure information, preparing proper equipment and clothing, conforming to basic standards of personal hygiene (to minimize the risk of traveler’s diseases) and acting in a considerate manner toward all group members and with respect for each country’s customs.

Choice for Aconcagua Express Expeditions was also because you were the only ones to actually give me advice on an expedition when I e-mailed you. You offered me a specific expedition and date. So the personal info was important for me.

Everything went very smooth, it was great to have a small bag of stuff sent from Plaza Argentina around to Plaza de Mulas, as we could have clean underwear, socks and our trail shoes without having to carry them to high camp.

Tatiana seemed very knowledgeable with first aid and altitude sickness, and seemed well prepared.  Tatiana’s food was awesome. The other groups in our camps were jealous when all they had was rice and we had fresh baked pizza in Camp 2! A couple mornings in base camp, there was not much provided for breakfast (one day was only toast) and we finally had to ask them each day to make eggs.

Joaquin was very helpful with all of my requests, and very quick to respond, which is one of the main reasons I selected KL Adventure to work with on this trip.

The transfers and transport was fine.  All vehicles were comfortable and there was plenty of room.  Hyatt is awesome of course. Penitentes is not great, but obviously there is no other option.

The trip was great, we will definitely work with you again for our 2010 climb, and also hope to add a Patagonia trip in the near future. It was also nice to have Joaquin meet the group in Mendoza and to spend more time with him on the drive to Santiago. We would definitely want to have Tatiana as our guide again.  She was exceptional and there was not another guide on the mountain I would have rather had than her. It is also very nice to have a local guide as your leader, better in my opinion than having American or European guides.

Billi also did a very nice job, as an assistant guide she was great.  The two of them worked very well together.
